Making a request

An individual may request access to personal information verbally or in writing. You do not have to use a particular form or legal wording. Our contact form or privacy email below can help route your request. Describe the records or relationship involved and provide a safe way for us to reply. We may seek proportionate identity checks where reasonably necessary.

Which organisation responds?

Clouds Nest handles requests concerning information for which it is controller, such as its own business enquiries. For donor, fundraiser or campaign records processed on a customer’s behalf, we will identify and assist the responsible customer. The relevant charity or agency’s privacy notice may provide the most direct request route.

Search and response

The responsible team must record receipt, make a reasonable and proportionate search, assess applicable exemptions and protect other people’s information. Responses are normally provided without undue delay and within one calendar month, subject to lawful provisions concerning identity checks, clarification or extensions. If a complex or numerous request requires an extension of up to two further months, the individual must be informed of the reason within the initial month.

Fees and limits

Requests are normally free. A reasonable fee or refusal may be appropriate for a manifestly unfounded or excessive request where the law allows it. Any refusal must be explained, with information about complaint rights. We must not delete records to prevent disclosure.

Other rights

Requests to correct, erase, restrict, receive or object to processing will be considered under the relevant legal conditions. Individuals can raise concerns with Clouds Nest and complain to the ICO. Secure records of requests, checks and responses should be retained for accountability.
